Envelopes, Labels, Mass Mailing

You can use the Mail Merge Helper to create form letters, mailing labels, envelopes, or catalogs. The Mail Merge Helper guides you through organizing the address data, merging it into a generic document, and printing the resulting personalized documents.

This module will cover the topics in the bulleted list below relating to envelopes, labels, and mass mailings. Complete each of the activities by following the steps enumerated in the yellow box. Some of the activities will be accompanied by demos to help you "see" the steps being performed before trying them yourself. At the end of this module, you will be given an assignment which you should complete and email as an attachment to cgeorge@wresa.org .

Download the file Sampleletter.doc . Follow these steps:

 

Automating a Mass Mailing

1. Start the Mail Merge Wizard From the Tools=>Letters and Mailing menu

2. Select the document type (Letters), then go to the next step (Starting Document)
3. Choose Use the current document and go to the next step (Select Recipients)
4. Choose Type a new list and then Create.  Add names and addresses to your New Address List. When through, click Close and you will be prompted to Save. Give your Address list a name and save. Notice that it is saved in a special folder.  
5. A new dialogue box entitled Mail Merge Recipients pops up. Select the recipients you want to send the letter to and click OK.
6. You are returned to the Select Recipients step and your Address list is chosen. Click Next (Write your letter)
7. You may now write your letter.
8. Type Dear then in the task bar click on More items. The Insert Merge Field dialogue box pops up. Choose First name and click Insert. Click OK. Then click More items again and choose Last name and click Insert. Finally click close. The text in your letter should look like this:

Dear «First_Name» «Last_Name»

Click Next (Preview your letter)

 

9. Finally, click Next  (Complete the Merge)
10. In the last step of the wizard you may edit individual letters or Print the letters. When you click on Print, the Merge to Printer dialogue box pops up allowing you to select letters to be printed.
